The Singapore-based owner and CEO of a successful global software company is seeking a person with exceptional experience in being a Business Personal Assistant for wealthy individuals and families with multiple residences.

RESPONSIBILITIES:

Secretarial & Administrative Support:

  • Plan, organize & coordinate daily/weekly/monthly meetings
  • Organize conferences & events
  • Provide secretarial & administrative supports to the CEO
  • Assist in extensive & complex travel arrangements
  • Filtering all emails & sending/reply emails on behalf of CEO
  • Handles highly confidential matters
  • Assist in preparation of slides for CEO’s for presentation
  • Procurement of daily office needs &
  • Updating required License/ Permits applications/renewals/payments
  • Office renovations and expansions projects

Communication/Internal Branding

  • Define and improve the characteristics of company’s internal brand image and reputation
  • Increase employee communications and ideate, create, moderate and consistently drive dynamic corporate communication
  • Good eye for detail and creative Familiarity with social media would be a plus as would a tech-savvy attitude
  • Drafting and customizing content for various media platforms- online portals, newspapers, social media, event speeches, presentation decks, videos and brochures

Contract Management

  • Maintaining of Customer Contracts in
  • Monitoring of contract expiry dates for renewals & extension
  • Tracking, filing/updating & ensuring contracts submitted in proper sets & order before routing for signatories

Marketing & CEO Office Support

  • Rendering supports in events organized for
  • Coordinating & assisting Marketing on Customer Survey reports
  • Ad Hoc Secretarial support for presentation slides & speeches

Finance and Accounting

  • To maintain daily accounting matters
  • Coordinate all invoices, claims & forms
  • Keeping track of department Monthly Controllable Expenses and Government
  • Assist in Travel Expenses claims
  • Handle all accounting matters and liaising with auditors
  • Issuance of cheque & payment vouchers
  • Handling of petty cash

REQUIREMENTS:

  • Highly presentable, well groomed, and self-confident (but not arrogant)
  • Social media savvy
  • Able to take up challenges and to work independently, under pressure, with little direction
  • This is a high profile role and only those with experience in top end service and management will be considered
  • Prior experience working for CEO’s/VP’s/ MD’s would be considered
  • Possess excellent verbal and written communication and interpersonal skills
  • Able to take up challenges, work independently and under pressure
  • Ability to handle a large variety of details and to work with all levels of organization
  • Excellent written and oral communication skills in English and Mandarin (with additional languages being a plus)
  • Exceptional Incredible attention to detail
  • No constraints that would limit the ability to work any time, any day—as needed to get a project completed
  • Education from a good university
